The number of employees in Monetra Pirkanmaa grew rapidly during the Corona era’s remote working period. When it was time to return to the office, the question arose as to whether there was the room for everyone. Taitori’s Workstation Reservation data was suprising: there was too much space.
“The system is modern, user-friendly, and can also be conveniently accessed on a mobile phone,” praises Päivi Röyskö, Monetra’s ICT service manager.
At Monetra’s Pirkanmaa office, a new problem arose during the coronavirus. The number of employees grew rapidly during the mandatory remote work period. When it was time to return to the office, the question arose as to whether there was room for everyone. Monetra provides financial and personnel management services for the cities of Oulu, Tampere, Kuopio, and Jyväskylä, as well as for four hospital districts.
“There were less than 200 workstations and already more than 300 staff, ” describes Päivi Röyskö, Monetra’s ICT service manager.
Monetra set out to solve the problem with the workstation reservation system. The team became acquainted with several service providers, but Taitori seemed the most suitable.
“It’s modern, user-friendly, and conveniently available on a mobile phone. Taitori also develops and updates the system,” explains Röyskö.
Each employee can see in real-time which workstations are accessible and can reserve a place whenever needed. Röyskö especially praises the ease of seeing the free places because Taitori’s service shows them on a map.
“You don’t need to know the numbers of the workstations, but you can see the booking situation at a glance. I go to the office once a week, and I usually reserve a place the same morning or, at the latest, at the point when I put my things on the desk at the workstation. ”
According to Röyskö, the system is worth the price, and the biggest savings are yet to come. Monetra was surprised when the system was used to monitor the premises’ daily occupancy rate.
“Yes, it was surprising when we got numbers instead of just words. On normal days, the occupancy rate is 20-30 percent, and on the busiest day, i.e. Wednesday, 70-50 percent. This observation has made us wonder if we could manage with smaller offices. It has quite a lot of economic significance, as we are a stone’s throw away from the center of Tampere.”

According to Röyskö, one of the best features is reporting.
“There are a lot of reports as standard, so you don’t have to start from the raw data to figure out the information: occupancy rates, past bookings, who has booked what, the most booked days, etc. You can get everything automatically by email as often as you want.”
According to Röyskö, the commissioning was quick and convenient.
“We sent them floor plans, told them the offices’ addresses, and numbered the tables. We got there with a little.”
Using Taitori’s reservation system is so easy that there was no need to train the staff separately.
“Written instructions were enough, with which our staff managed just fine. People have received much praise for this being smart to use.”
Cooperation with Taitori has gone well.
“You get a quick response from support if there is a problem. Every six months, there are follow-up meetings where our wishes are listened to.”
In addition to Tampere, Taitori’s system is in use at Monetra’s Oulu office, which is moving to smaller premises during the fall. Oulu needed a system to let people know if there was space at the workplace when the facilities were getting smaller.
Monetra is also introducing Taitori’s reservation system for reserving parking spaces.
“Taitori’s team set out very quickly to build it and tell us what is possible and what is not. We will have a service where you can reserve a parking space from the map, and we will receive reports on the use of spaces once a month. We charge employees for using parking spaces, and this system also makes it easier.”
