The seven-story communications building of Otavamedia is located in Pasila, Helsinki. The building houses around 200 employees and about 20 meeting rooms. Reservations for meeting rooms and catering are made using Taitori, which simplifies and enhances the transparency of the booking process.
Otavamedia’s collaboration with Taitori began in the fall of 2017. Taitori’s booking system includes listings of meeting spaces, making reservations convenient. The system can be accessed through both a web interface and directly from Outlook. Outside the meeting rooms, there are screens that operate in sync with the booking system, allowing users to check whether a space is available or booked.
“Reservations are often made directly in Outlook. It’s easy to see from outside the meeting rooms whether the space is free or occupied,” says Mikko Lehtinen, IT manager of the Otava Group.
Usability system and new devices
Lehtinen feels that thanks to Taitori, space bookings, and related matters are now presented more visually. This makes it easier to grasp the overall picture and to make reservations as a whole.
“We expected Taitori to provide usability and the opportunity to use modern tools. Both expectations have certainly been met,” Lehtinen summarizes.
Catering can be conveniently ordered simultaneously, even from a mobile phone
Along with making a space reservation, catering can also be ordered for the meeting room. It’s easy to make a reservation and order catering, even on a tight schedule.
“Without Taitori, booking a meeting room, for example, from the road, would be difficult. You definitely wouldn’t be able to order any catering simultaneously,” Lehtinen states.
“On the other hand, there would certainly be more people knocking and peering in through the windows of the meeting rooms to check whether the room is reserved or not,” Lehtinen continues.
