Taitori Workplace Booking

Every employee wants a personal, secure, and available workplace when arriving at work. With Taitori’s workplace booking system, everyone can effortlessly find their own free spot.

Savings for the Company and Convenience for Employees

If your staff spends, for example, 15 minutes a day booking workplaces, adjusting meeting rooms, and dealing with confusion, this amounts to 1,500 minutes per day for a company of 100 people. That’s 720 workdays a year! Approximately three years wasted on booking spaces is a significant amount of time that could be spent on actual work, right?

Taitori Workplace Booking allows workplaces to be reserved in multiple ways, either in advance or as a quick booking.

Workplace Booking with Your Company’s Rules

The workplace booking system can be tailored to the customer’s needs. Restrictions can be set for bookings, allowing the workstation reservation to support the company’s own rules and practices. Different working areas can be marked on the floor plan, and specific workstations can be reserved only for certain user groups.

Book by Mood or Anticipate

Workplaces can be booked in advance as a single or recurring reservation or as a quick booking. Taitori shows the real-time booking status on the floor plan, and the application also displays the booking situation for the coming days, allowing employees to plan their arrival based on whether a busy or quiet day is expected at the office.

Check-in Function to Eliminate Ghost Bookings

Taitori workplace booking system can implement a check-in feature, requiring confirmation of pre-made reservations upon arrival. IoT sensors can also be used to automatically confirm pre-booked reservations. If no one shows up, the workstation is released for others to book.

Workplace Reservations Can Be Made Through…

Taitori mobile or web application

Taitori Smart Office Outlook Add-in

Team functionality from nearby team members

Scanning a QR code sticker installed on the workstation

Interactive floor plan on the lobby touchscreen

Automatically through IoT sensors

Find the Perfect Workplace

Taitori booking application is versatile and offers various ways to find the workplace. Users can search for suitable spaces or choose from the floor plan, browsing view, or timeline. Workplaces can be marked as favorites, and features, images, and videos can be added, making it easier to find an appropriate workplace.

Reporting and Analytics

Our services collect extensive data on the duration, number, and quality of reservations for different spaces. Reports track booking and usage rates of spaces as well. With this collected data, companies can see which spaces and how many workplaces are actually used. This information helps shape the work environment to better serve the evolving needs of the workplace and employees.

Visualize Booking Status On-Site

A wireless network-connected reserved light visualizes booking information received from the workstation’s motion sensor or Taitori’s application.

The reserved light allows the workplace to be bookable in advance and automatically through an IoT sensor. When a pre-scheduled reservation is about to begin, the reserved light will start blinking 10-15 minutes in advance, notifying any user seated at the workplace to vacate it for the upcoming reservation.

4 Reasons to Implement a Workplace Booking System

1.

Companies are moving away from dedicated workplaces as employees may only be in the office 1-2 days a week. It doesn’t make sense to keep a workplace reserved while it sits empty 3-4 days a week.

2.

Upon arriving at the office, employees want to ensure they have a quality workplace by reserving it in advance. They don’t want to arrive at the office only to find there’s no workplace available.

3.

Many employees feel more secure knowing they can check how many people are coming to the office in the near hours or days. This allows them to avoid peak times.

4.

Companies want data on how workplaces and other spaces are actually used. This data can help determine if there are too many or too few spaces. With this information, the work environment can be adjusted to better meet the changing needs of employees.
